Office Assistant
We are recruiting for an Office Assistant on behalf of our client, Passion Pictures to join the team on a 6-month fixed term contract.
The Office Assistant will be the face of the UK Head Office, based in central London, responsible for greeting clients and facilitating a welcoming and warm first impression to the business. This role will be supporting the Office Manager with administrative related tasks for day-to-day maintenance of the Rathbone Place building.
This role is not strictly desk based and can be physical depending on tasks at the building and operational team projects.
Key Responsibilities:
Acting as a key holder, opening and closing the office daily.
Managing and organising designated office mailboxes and enquiries.
Supporting building maintenance activities and keeping SharePoint documentation updated.
Providing front‑of‑house cover during lunch hours.
Managing office supplies, including stock checks, weekly ordering, and distribution across the building.
Completing post runs, deliveries, and general office errands as needed.
Liaising with contractors and supporting the Office Manager with onsite maintenance coordination.
Recording and tracking credit card receipts and related documentation.
Providing support for off‑site projects and occasional out‑of‑hours work (with notice).
Carrying out regular area checks to ensure kitchenettes, washrooms, and communal spaces are well‑maintained and fully stocked.
Ensuring communal areas remain tidy, organised, and compliant with fire‑safety requirements.
Maintaining meeting rooms throughout the day, including video and audio functionality checks.
Organising refreshments for meetings upon request; water, tea, pastries, etc.
Coffee and Lunch Runs.
Assisting with internal events, team showcases, seasonal activities, and creating simple posters or flyers.
Supporting Health & Safety processes, including daily fire walks, annual drill coordination, CCTV checks, and assisting Fire Marshals and First Aiders.
Requirements:
Minimum of 1 year experience in a customer facing or reception based role
An understanding of Mac & PC operating systems is desirable
Excellent communication skills
Ability to work as part of a team or individually
Experience working on Microsoft 365 platforms (Core Apps: Outlook, Excel, Word, PowerPoint, Planner) in addition to creative tool platforms (Canva and Photoshop)
Fixed Term Contract: 6 months
